Why Keep an Approval Conditions Register?
A simple register helps the project team avoid missing conditions that may affect mobilisation, traffic-management setup, working hours, access or final closeout.
1. Record Every Approval Condition
List each condition from the approved NOC and related correspondence. Keep the exact reference, document revision and approval date.
2. Assign an Owner
Every condition should have a responsible person or team, such as design, site operations, traffic management, HSE or document control.
3. Identify the Required Evidence
Record what proves the condition has been met, for example:
- Approved drawing revision
- Site photograph
- Method statement
- Equipment record
- Inspection checklist
- Completion record
4. Link Conditions to the Programme
Some conditions must be closed before mobilisation. Others apply during the work or at closeout. Mark the required stage and deadline.
5. Review Before Site Mobilisation
Before work starts, compare the conditions register with the latest site plan and approved drawings. Any unresolved item should be escalated before deployment.
