Record Every Comment Exactly
Copy each review comment into a central register and give it a unique reference. Avoid shortening technical comments so much that the original requirement becomes unclear.
Assign Responsibility
Each comment should have an owner. Depending on the issue, this may be the traffic engineer, utility coordinator, designer, contractor or document controller.
Link the Comment to the Revised Document
Record which drawing, calculation, method statement or supporting document was changed in response. Include the drawing number and revision so the project team can trace the update later.
Describe the Action Taken
A short response should explain how the comment was addressed. Do not rely only on a revised drawing without a clear response note.
Check Cross-Document Consistency
When one drawing changes, confirm that related documents still match. Work limits, dates, access routes and traffic arrangements should remain consistent across the submission.
Track Resubmission Status
The register should show whether the item is open, revised, resubmitted, accepted or still awaiting review.
Keep Evidence of Closure
Save the final response register with the approved document set. This helps during mobilisation, handover and future project audits.
