An RTA ROWPS Application Service should define what happens to project records after the work period. Where a refundable deposit applies, the applicant needs to distinguish the refund request from permit renewal, work handback and HMJ’s service charges.
What the official RTA page says
RTA’s published Right-of-Way occupation service explains that a deposit refund can be requested through its website after the permit expires. The applicant signs in, opens the deposit refund request function, selects the application action, enters the ROWPS reference and requested information, then submits the request. Check the current official service page and account instructions before acting.
This describes a request process, not a promise that payment will arrive automatically on the expiry date. Do not use a fixed refund amount or processing date unless it is confirmed for the actual application.
Keep financial and project records distinct
Maintain a project record linking the permit reference with the relevant payment evidence and applicant details. Keep HMJ’s service invoice separate from authority charges and deposits so the accounts team does not confuse different transactions.
- ROWPS application number and associated project.
- Permit expiry information from the actual record.
- Payment evidence and the responsible applicant contact.
- Refund request reference and latest response.
- Outstanding questions and the person assigned to follow up.
This is an internal filing suggestion, not a declaration that every item is a mandatory upload. Supply the documents actually requested through the applicable official process.
Do not confuse expiry with site completion
Permit expiry does not itself demonstrate that equipment has been removed or every project obligation has been met. Keep the responsible site’s handback and completion records available separately. If the work is continuing, resolve the applicable permit requirements rather than treating a refund enquiry as an extension.
Agree the follow-up scope
Include responsibility for administrative closeout when agreeing Full Application Support & Follow-Up. Confirm whether HMJ is asked to organise records, assist with an enquiry or support another defined task; the applicant retains responsibility for authorised account access and the authority decides the request outcome.
