A replacement AC unit may change after the delivery and road occupation proposal has been prepared. A different model can bring different packaging, handling requirements or transport arrangements. The important question for the traffic coordinator is whether the revised information changes the public-space assumptions, not simply whether the replacement provides the same cooling output.

Build a change comparison

Ask the mechanical supplier to identify the original and proposed units and provide the current delivery information. Record differences in dimensions, weight information supplied to the lifting team, packaging and delivery configuration. Mark unconfirmed values as outstanding. The competent mechanical and lifting specialists must assess suitability; a traffic review cannot approve equipment selection.

Trace each change to its owner

Use a short register: changed input, affected document, responsible reviewer and status. A different delivery vehicle goes to the transport and access review. Revised lifting inputs go to the lifting specialist. A changed public footprint goes to the traffic designer and permit coordinator. One supplier’s acceptance should not be treated as closure of every interface.

Review the actual road consequences

Compare the revised vehicle position, receiving area and work sequence with the current proposal. Include outgoing-unit collection if that arrangement has also changed. A variation that is manageable inside the building may still affect the time or space used outside. Equally, do not assume every product change necessarily requires a new road closure; the responsible review determines the consequences.

Control the revised information

Keep the original baseline and identify the replacement documents clearly. Ask the permit coordinator whether the current submission or issued approval needs updating. Do not send the revised unit to site while operational teams are still working from the previous arrangement. Record who confirms readiness after the relevant reviews are complete.

Send a focused update to HMJ

Provide the original brief, revised supplier information, a clear list of differences and any updated specialist layout. Include the intended date and existing permit reference. This enables a targeted review of traffic diversion and road occupation support without restarting the project discussion from an unexplained new data sheet. Approval decisions remain with the relevant authority.
