An RTA ROWPS Application Service may involve people working in different languages. A translated site brief can help explain the project arrangement, but it must remain traceable to the current permit and approved drawings. It should not silently change the meaning of a condition or become a replacement approval document.

Keep the original reference visible

Record the application number, drawing number, revision and source document date on the working brief. Identify the source language and the person responsible for reviewing the translation. Keep access to the original documents so the team can resolve questions against the authoritative record.

A translated summary should be labelled as a working communication aid. Any translation formally required by an authority or contract must meet that specific requirement; an internal briefing document should not be presented as certified.

Check the information that changes decisions

  • Work locations and named access points.
  • Dates, times, dimensions and drawing references.
  • Conditions restricting the permitted activity.
  • Responsibilities for approvals, inspections and changes.
  • Instructions that distinguish a proposal from an authorised arrangement.

Ask a competent reviewer familiar with the project to check these items. Automated translation can help prepare a draft, but unresolved technical wording needs clarification before the brief is used.

Do not resolve ambiguity by guessing

If a term could change the work boundary or the meaning of a permit condition, record the question and send it to the responsible project reviewer. Where authority clarification is needed, use the applicable official communication route. Do not add an interpretation to a drawing and circulate it as an approved revision.

For Traffic Diversion drawing Preparation in Compliance with RTA Requirements, the design and approval records remain the reference. A briefing translation communicates that information; it does not establish compliance on its own.

Update both versions together

When the source package changes, identify the affected sections of the translated brief, withdraw superseded copies and record the new review. Include this task within the agreed Full Application Support & Follow-Up responsibilities.
