1. Define What the Team Should Inspect

Routine checks should cover:

• Panel stability and alignment.
• Posts, supports and visible fixings.
• Gates and locking arrangements.
• Gaps at ground level or between panels.
• Sharp, loose or damaged edges.
• Public-facing signs and warning information.
• Pedestrian and vehicle access points.

2. Classify Defects by Priority

Not every defect has the same urgency. A practical system can separate:

Immediate Safety Defects

Examples include unstable panels, a gate that cannot be secured, a sharp exposed edge, or damage that affects public access. These should be isolated and corrected promptly.

Operational Defects

Examples include damaged paintwork, loose signage or minor alignment issues that do not immediately compromise the boundary but still need planned repair.

3. Record the Exact Location

Large sites may have hundreds of metres of hoarding. A defect report should identify the location clearly using gate numbers, grid references, nearby landmarks or marked-up site plans.

4. Add Photographs

Photographs help the repair team understand the issue before arriving. Include a wider location image and a close-up of the defect.

5. Track Repair Ownership

Every reported defect should have:

• Date reported.
• Priority.
• Responsible person or subcontractor.
• Target repair date.
• Completion record.

6. Reinspect After Repair

Closing a defect should require a quick verification that the repair is complete and has not created another issue such as restricted access or a new sharp edge.

7. Pay Special Attention to Gates

8. Keep a Maintenance Log
