A simple communication plan helps reduce confusion when the route changes.

1. Identify the Stakeholders

List the people and teams who need to know about the diversion. Depending on the project, this may include site management, subcontractors, security, delivery teams, adjacent facilities and access-control personnel.

2. Confirm What Each Group Needs to Know

Not everyone needs the same information. Site crews may need the approved drawing and work sequence, while delivery drivers may only need the temporary access route and arrival instructions.

3. Share the Latest Approved Route

Use one current route plan and remove outdated versions from circulation. Where changes are approved, issue the revised route promptly and identify the revision clearly.

4. Coordinate Access and Deliveries

Confirm how construction vehicles, deliveries and service vehicles will enter and leave the project during the diversion. Avoid creating conflicts between the public diversion route and site access movements.

5. Protect Emergency Access

The communication plan should identify any route or gate that must remain available for emergency or essential access. Relevant site personnel should know how to keep that path clear.

6. Communicate Timing

State when the diversion becomes active, when it is expected to change, and who will confirm opening or removal. This reduces early or late movements based on assumptions.

7. Record Changes During the Shift

If signs, barriers, access or the route change during the work period, communicate the update to affected teams and record the change in the daily traffic-management log.
