ROWPS Permit Expiry Monitoring Checklist Dubai

ROWPS permits should be monitored against the project programme so the site team is not surprised by an approaching expiry date while work is still active. A simple permit-monitoring routine helps contractors identify extensions, scope changes and document updates early.

1. Record the Permit Dates

Keep the permit issue date, validity period and any related project dates in a central register. The register should be accessible to the project manager and permit coordinator.

2. Compare Permit Validity With the Programme

Review whether the planned work can be completed within the current permit period. Programme delays, access restrictions or subcontractor changes may affect the expected completion date.

3. Set Internal Reminder Dates

Do not wait until the final day of validity. Set internal reminders in advance so the team has time to assess whether an extension, amendment or new submission may be required.

4. Check Scope Changes at the Same Time

When reviewing expiry, confirm that the work limits, access, drawings and project activity still match the approved scope. A date extension does not automatically address a material change in the work itself.

5. Keep the Latest Documents Together

Maintain the latest permit, approved drawings, correspondence and revision records in the same controlled project folder. This reduces confusion when preparing any follow-up submission.

6. Coordinate With the Site Team

The permit coordinator should regularly confirm progress with the construction team. If the project is ahead, delayed or changing sequence, the permit plan should be updated accordingly.

7. Separate Extension, Amendment and Closeout

An extension deals with time. An amendment may address scope or drawing changes. Closeout applies when the permitted activity is complete. Treat these as separate project decisions.
